Still running repairs through WhatsApp, email and phone calls?
Then the story of any one repair is spread across:
- a tenant's messages
- a member of staff's inbox
- a contractor's texts
- photos on somebody's phone
- an invoice in a folder
- a line in a spreadsheet
FixDocket puts the whole job in one record, from the first report to the sign-off: who reported what, when it was answered, what it cost, who signed it off, and the photos to prove it.
How it works
Four steps, and three of them happen on a phone.
The tenant reports
Each flat has its own report link. Print it as a QR code for the tenant pack, the noticeboard or inside the door, or email it to the tenant once. They open it, describe the fault and add photos. No app, no account, no password. A tenant who phones instead is logged in seconds by your team.

You assign
The job is in your console the moment it is sent, with an email to your team. Triage it, mark it a duplicate, or send it to a contractor with one secure link.

The contractor completes
They open the link on their phone, see the fault and the photos, add their own when the work is done, and upload the invoice with the figure.

You sign off
The amount is approved by a named person at a recorded time. The job closes and its full history is kept, as a page in your console and as a PDF on demand.

No apps. No passwords. No training.
Only your own team signs in. Tenants and contractors get a code or a link, on their phones, and the form loads in a second on one bar of signal in a stairwell. Here is what that changes for you.
Fewer messages to chase
Everything about a job is in the job: the report, the photos, the invoice and the approval, attached to the flat they belong to. Your team opens the console instead of scrolling back through three conversations.
No contractor onboarding
Send a secure job link. The contractor sees the repair, uploads completion photos and submits the invoice without creating an account. The link expires after 30 days.
Landlords kept informed
Share a job with the landlord through a link that lasts 90 days: the reported issue, the history, the photos, the invoice and who approved it. No forwarding emails.
Answer a dispute in minutes
Download the complete repair history as one PDF: report, timeline, photos, invoice and sign-off. For a deposit dispute, a landlord, or an auditor.
Read more: for letting agents, tenant repair reporting, contractor job links and the repair audit trail.
Why the record matters
Repairs are where property management gets argued about: whether the tenant reported it, how long it took, what it cost, who approved it. FixDocket keeps the answer as it happened -- every step timestamped, every photo kept, every change of status attributed. Every event is added to the job's history and none can be silently edited or removed, by you or by us: a correction is a new entry, and the old one stays. When data must go, an authorised manager deletes the complete record, in line with their retention policy.
- Built for UK lettings: sign-off is recorded, but no money moves through FixDocket.
- Your data is yours: entries cannot be edited, but the whole record for a job, a flat or a building can be deleted when your policy or the law requires it, photos included. How information is handled.
- Hosted in London, with each customer's data kept separate from every other's. Security and data protection.
