For letting agents
Repair management software for letting agents
Repairs are where an agent gets blamed: the tenant says they reported it weeks ago, the landlord asks why it cost that much, and the answer is in four different inboxes. FixDocket keeps each repair in one record, from the first report to the sign-off.
What your team gets
One console for every building you manage, and one record per repair.
One record per repair
The report, the photos, the contractor's work, the invoice and the approval, all attached to the flat they belong to. Nobody scrolls back through three conversations.
See what has stalled
A view of open jobs that have sat at one stage too long, the furthest past first. The job list shows what came in; this shows what is going wrong.
Building by building
For each building: what is open, what has stalled, what has been signed off and spent, and which flats keep coming back with the same problem.
Landlords kept informed
Share a job through a link that lasts 90 days. The landlord sees the reported issue, the history, the photos, the invoice and who approved it, without a forwarded email chain.
Your team, one price
Every member of staff, every building and every flat is included. Tenants, contractors and landlords never need an account, so they never cost you anything.
Export when you need it
Download the job list as a CSV, with the filters you have applied, for your own reporting or your accounts team.
How a repair runs
- The tenant reports the fault from their flat's QR code or link, with photos. Your team is emailed.
- Your team triages it, marks it a duplicate if it is one, or sends it to a contractor.
- The contractor uses a secure job link to see the fault, add completion photos and upload the invoice.
- A named member of your team signs off the amount. The job closes and its full history is kept.
Records you can stand behind
Every step is timestamped and attributed, and the history is append-only: a correction is a new entry, and the original stays. That matters when the record is used in a deposit dispute, a complaint, or a conversation about whether a repair was handled in reasonable time. Expectations about how quickly repairs are dealt with, and how well they are documented, are rising in the private rented sector, and a dated, photographed record is the simplest way to show what you did. See our notes on the Renters' Rights Act and repair records. FixDocket keeps the record; whether a particular record is enough for a particular case is a matter for you and your advisers.
Built for UK lettings
Client money is regulated, and FixDocket does not touch it. Sign-off is recorded, invoices are kept, and documents are generated, but your own accounting system moves the cash. Your data is hosted in London, each customer's data is kept separate from every other's, and the whole record for a job, a flat or a building can be deleted when your retention policy or the law requires it. See security and data protection for the detail.
Where FixDocket fits, and where it does not
FixDocket suits independent agencies and lettings teams that want repairs on one record without a heavy rollout, and without putting every tenant and contractor on an account. It may not suit you if you need:
- live integration with your property management software (today there is a CSV export only)
- a built-in contractor marketplace or out-of-hours call handling
- compliance certificate tracking in the same tool
We would rather you knew that before you start.

Frequently asked questions
Do my tenants and contractors need accounts?
No. Tenants report from a QR code or link, contractors use a secure link per job, and landlords see jobs through a link. Only your own team signs in.
Can I show a landlord what a repair cost and who approved it?
Yes. Share the job through a link that lasts 90 days, or download the complete history as one PDF with the report, timeline, photos, invoice and sign-off.
How do I find repairs that have gone quiet?
The stalled view lists open jobs that have sat at one stage too long, the furthest past first.
Does FixDocket handle client money?
No. It records amounts and generates documents; your own accounting system moves the cash.
What does it cost?
Your first repairs are free, then one monthly price covers your whole team and every building. The pricing page has the current figure.
