For block managers
Block management repair software: one record per flat
In a block, the same leak is reported by three flats, chased by two directors and described differently in every email. FixDocket gives each flat its own repair history and rolls every building up into one view, so you can answer "what happened and when" without digging.
Why repairs in a block get messy
A block has more people with a stake in each repair than a single let: leaseholders and their tenants, the residents' management company or right-to-manage directors, the freeholder, and your own team. Communal faults do not belong to any one flat. Flats change hands, and the history leaves with the previous owner's inbox. When the service charge accounts are questioned, you need to show what was reported, what was done and who approved the cost.
What block managers get
The flat is the durable record. The building is where you manage the work.
A QR code on every front door
Each flat gets its own code. A leaseholder or tenant scans it and reports the fault with photos, with no app and no account, and the report is already attached to the right flat.
One history per flat
Every report, photo, invoice and approval stays with the flat it belongs to, so when a flat changes hands the repair history does not go with the previous owner's inbox.
A view per building
For each block: what is open, what has stalled, what has been signed off and spent, and which flats keep coming back with the same problem.
Duplicates handled
When several flats report the same fault, mark the repeats as duplicates of one job so the contractor is sent once and every report is still on the record.
Directors and freeholders kept informed
Share a job through a link that lasts 90 days. They see the report, the history, the photos, the invoice and who approved it, without a forwarded email chain.
Named sign-off on every invoice
The amount is approved by a named member of your team at a recorded time, and the record cannot be quietly rewritten afterwards.
Communal areas too
A unit is whatever you need a repair record for. Add each flat, and add the roof, the lift or the entrance hall as units of their own, so a communal repair has a history of its own and does not get filed under whichever flat reported it.
What FixDocket does not do in a block
- It does not handle service charge money or pay contractors. Your own accounting system does that.
- It does not run Section 20 consultations or manage major works procurement.
- It is not a building safety or compliance register. It records responsive repairs, which you may want to refer to alongside those records.
- No live integration with block management accounting software today. There is a CSV export.
Built for how blocks run
Contractors use a secure job link to see the fault, add completion photos and upload the invoice. Leaseholders, contractors and directors never need an account, so they never cost you anything, and your whole team and every building are included in one flat monthly price. FixDocket records sign-off and generates documents, but it never touches client or service charge money: your own accounting system moves the cash.
The record behind it is the repair audit trail, and data is hosted in London with each customer's data kept separate; see security and data protection. Working out how to structure a block's records? Frequently asked questions
Can I record repairs to communal areas?
Yes. A unit is any place you need a repair record for, so you can add the roof, the lift or the entrance hall alongside the flats.
Do leaseholders and residents need an account?
No. They report from the flat's QR code or link. Contractors and landlords or directors use job links too, so only your own team signs in.
What if several flats report the same fault?
Mark the repeat reports as duplicates of one job. The contractor is sent once, and every report stays on the record.
Can I show a director or freeholder what was done?
Yes. Share a job through a link that lasts 90 days, or download the full history as one PDF.
Does FixDocket handle service charge money?
No. It records amounts and generates documents. Your own accounting system moves the money.
